Work Smarter, Not Harder: Automating and Streamlining with the MARFAST Method™ – Day 3

October 11, 20243 min read

Welcome to Day 3 of our MARFAST Method™ series! Over the past two days, you’ve mapped your time and identified the tasks that truly drive results. Today, we’re going to take it one step further and show you how to automate, delegate, and streamline your workflow so you can work smarter, not harder.

Why Automation and Streamlining are Essential for Growth

By now, you’ve probably realized that you can’t do everything yourself—nor should you try! Whether it’s managing client emails, posting on social media, or scheduling meetings, some tasks are better off being automated or delegated.

The goal of automation and streamlining is to free up your time so you can focus on high-impact work. Here’s why this is so powerful:

  • Save time and reduce mental load: When you automate repetitive tasks, you gain back valuable hours and mental energy.

  • Focus on what matters: By delegating low-impact tasks, you can zero in on the things that truly drive your business forward.

  • Prevent burnout: The more you streamline your workflow, the more balance you’ll find between productivity and rest.

How to Automate and Delegate Your Tasks

Step 1: Automate Low-Impact, Repetitive Tasks

The first step is to automate tasks that don’t require your full attention. These might include things like:

  • Email responses: Set up automatic replies or use templates for common queries.

  • Social media posts: Use scheduling tools like Buffer or Later to automate your posts for the week.

  • Task reminders: Set up recurring reminders for repetitive tasks like invoicing or follow-ups.

Automation doesn’t have to be overwhelming. Start with one small task and go from there.

Step 2: Delegate to Free Up Your Time

Delegation is just as important as automation. If you’re spending hours on tasks that someone else could handle (think admin work, data entry, or customer service), it’s time to delegate. And here’s the kicker—you don’t have to hire someone full-time!

Here’s how you can start delegating:

  • Trade services: If you’re a health coach, for example, you might offer a VA free access to your group coaching program in exchange for help with admin work.

  • Outsource small tasks: Hire a virtual assistant for a few hours a week or use a platform like Fiverr or Upwork to find affordable help.

Step 3: Streamline Your Workflow

Streamlining is all about simplifying your daily operations. Cut out unnecessary steps and group similar tasks together for efficiency. For example:

  • Batch your tasks: Instead of jumping from one thing to another all day, group similar tasks (e.g., email time, client calls, content creation) into blocks. This improves focus and reduces mental fatigue.

  • Cut the fluff: If a task doesn’t directly contribute to your business growth or well-being, it might be time to let it go.

Today’s Action Step
Here’s your action step for today:

  1. Pick one task to automate: Whether it’s scheduling social media posts or setting up auto-responses for emails, choose one task to automate this week.

  2. Delegate one task: If you’re struggling with a specific low-impact task, find a way to delegate it—even if it’s just trading services.

  3. Streamline your workflow: Identify an area where you can cut unnecessary steps or batch similar tasks together.
